HAC Props & Beyond – Terms & Conditions
Last updated: August 2026
These Terms and Conditions apply to orders placed with HAC Props & Beyond through our website, social media accounts, email, telephone, invoice, payment link or any other agreed method.
Please read these Terms and Conditions carefully before placing an order. By placing an order and making payment, you confirm that you have read and accepted these terms.
Nothing in these Terms and Conditions affects any rights you may have under applicable consumer law.
1. Business Information
Trading Name: HAC Props & Beyond
Legal Business Name: HAC Props and Beyond Ltd
Registered/Business Address: Springbank Buildings, Nelson BB9 7BS
Email: Propsandbeyond.uk@gmail.com
Telephone: 7377381861
Website: www.hacpropsandbeyond.co.uk
Company Number: 17210086Throughout these terms, "HAC", "we", "us" and "our" refer to HAC Props & Beyond.
"Customer", "you" and "your" refer to the person or business placing the order.
2. Our Products
HAC Props & Beyond manufactures event props and related products including, but not limited to:
MDF event props;
sailboards and backdrop panels;
arches and decorative structures;
2D and 3D props;
collapsible and foldable props;
stage risers and plinths;
signs and signage;
acrylic elements;
LED and illuminated products;
shelves and display structures;
bespoke and personalised event props; and
other event-related products manufactured by us.
Unless specifically stated otherwise on the product listing, quotation or invoice, our MDF products are supplied as raw, unfinished MDF.
3. Placing an Order
Orders may be placed through:
our website;
Instagram or other social media platforms;
email;
telephone;
an invoice or payment link; or
another method agreed by HAC.
Before making payment, you are responsible for checking that the order details are correct, including:
product;
quantity;
dimensions;
design;
wording;
spelling;
colour or finish, where applicable;
delivery address;
collection details; and
any agreed event or required-by date.
If anything on your quotation or invoice is incorrect, you must notify us before payment or before approving the design for production.
An order becomes confirmed once we have received the required payment and, where applicable, the customer has approved the final specification or design.
4. Measurements and Product Dimensions
Customers must carefully check all measurements before ordering.
Where a customer supplies measurements, HAC will manufacture the product using the measurements provided.
Unless expressly agreed otherwise, dimensions shown on our website, quotation or invoice are target dimensions.
As our products are manufactured rather than mass-produced finished retail goods, small manufacturing tolerances may occur.
A minor manufacturing tolerance will not normally constitute a defect provided it does not materially affect the appearance, intended use or functionality of the product.
We will not intentionally make a material change to an agreed size without first discussing this with the customer.
Customers are responsible for ensuring that:
the product will fit within their venue;
the product can pass through required doors, corridors and access points;
the product fits within their vehicle where collection is chosen; and
the dimensions are suitable for their intended application.
5. Bespoke and Custom-Made Orders
A bespoke order is an item manufactured specifically to a customer's requirements, measurements, design, wording or personalisation.
Customers ordering bespoke products must provide sufficient information for us to manufacture the product.
This may include:
drawings;
reference photographs;
measurements;
wording;
logos;
artwork;
intended use; and
any important structural or functional requirements.
Where information is incomplete, we may contact the customer for clarification.
Where an exact feature is particularly important, the customer must tell us before production begins rather than relying solely upon a reference photograph.
HAC may make reasonable manufacturing or structural adjustments where necessary for the strength, stability or practical construction of the product. Where any proposed adjustment would materially change the agreed design, we will seek approval before proceeding.
6. Reference Images and Replication
Customers may provide photographs or reference images to communicate the style or type of product they require.
Reference images are treated as design inspiration and specification guidance unless otherwise expressly agreed.
Because products are individually manufactured, we cannot guarantee that a finished product will be an exact replica of another manufacturer's product or a reference photograph.
Variations may arise because of:
dimensions;
materials;
construction methods;
structural requirements;
available components;
manufacturing techniques; or
intellectual property considerations.
We reserve the right to refuse or modify a request where we reasonably believe manufacturing it would infringe another party's intellectual property rights.
7. Customer-Supplied Artwork, Logos and Designs
Where you provide us with a logo, artwork, character, image, drawing, wording or other material for use on a product, you are responsible for ensuring that you have permission to use it.
By supplying material to us, you authorise HAC to reproduce it solely as necessary to fulfil your order.
We reserve the right to refuse material that we reasonably believe may infringe copyright, trade marks or other third-party rights.
8. Raw MDF Products
Unless otherwise stated, raw MDF products are supplied as an unfinished product ready for customer preparation and decoration.
Raw MDF should not be expected to have the appearance of a finished painted prop.
Depending on the product and manufacturing process, raw MDF may require:
sanding;
filling;
priming;
sealing; and
painting.
Cut edges, routed areas, joins, fixings, manufacturing marks and differences between cut edges and the face of the MDF may remain visible before preparation and painting.
These characteristics do not by themselves mean that the product is defective.
9. Painted, Primed and Finished Products
Where HAC agrees to provide priming, painting, acrylic, vinyl, lighting or another finish, the exact specification will be stated on the quotation or invoice.
Colours displayed digitally may differ slightly from physical colours because of differences between screens, lighting and paint batches.
Where an exact colour is essential, the customer should provide a recognised colour reference before production.
10. Lead Times
Lead times vary depending on the type of product.
The estimated production time will normally be stated:
on our website;
on the product listing;
on your quotation;
on your invoice; or
in written communication with HAC.
The production lead time begins once:
the required payment has been received;
all required measurements and specifications have been provided; and
any required design approval has been given.
Weekends and bank holidays do not count as working days unless expressly agreed.
If information or approval is delayed by the customer, the completion date may also be delayed.
Production time and courier transit time are separate unless we expressly state otherwise.
11. Event Dates and Required-By Dates
Customers purchasing props for a specific wedding, party, event, installation, class or other deadline must tell us their required date before placing the order.
We strongly recommend allowing sufficient time between expected delivery and the event for:
courier delays;
inspection;
assembly;
preparation;
priming;
painting; and
any unexpected issues.
A requested event date is not automatically a guaranteed delivery date.
Where HAC expressly agrees in writing that delivery by a particular date is guaranteed or essential, that agreed date will form part of the order.
12. Express and Rush Orders
Orders required sooner than our normal production schedule may be accepted as an express or rush order.
Acceptance is subject to production capacity.
An additional express charge may apply.
A rush order is only confirmed when:
HAC has confirmed availability;
any additional charge has been agreed; and
payment has been received.
We reserve the right to refuse an express order if we do not believe it can reasonably be completed to the appropriate standard.
13. Changes After Ordering
Because many HAC products are manufactured specifically for each order, changes requested after production has begun may not be possible.
Changes may result in:
an additional manufacturing charge;
additional material costs; and/or
an extended lead time.
We will advise you of any additional cost before carrying out an agreed variation.
Where a product has already been cut or manufactured, the customer may be charged for materials and work that must be reproduced because of a customer-requested change.
14. Payment
Orders must be paid using one of the payment methods made available by HAC.
The amount and payment schedule will be shown on the quotation, invoice or checkout page.
Unless a separate payment arrangement has been agreed in writing, production will not begin until the required payment has cleared.
Ownership of the goods remains with HAC until the full purchase price has been paid.
15. Consumer and Business Customers
Some HAC customers purchase products for private use while others purchase products as part of an event styling, venue, hire, balloon, wedding or other commercial business.
A Consumer is an individual purchasing mainly for purposes outside their trade or business.
A Business Customer is a person or organisation purchasing mainly for commercial or professional purposes.
Where consumer law gives a Consumer rights that cannot legally be excluded, those rights take priority over anything in these Terms and Conditions.
6. Cancellation – Bespoke and Personalised Products
Most bespoke and personalised HAC products are manufactured specifically to the customer's specifications.
Where an item is genuinely made to your specifications or clearly personalised, the statutory change-of-mind cancellation right that normally applies to certain distance purchases may not apply.
This includes, where applicable, products manufactured to:
custom dimensions;
custom wording;
custom designs;
customer-specific artwork;
custom shapes; or
other individual specifications.
This does not affect your rights if the goods are faulty, materially not as described or otherwise do not meet your statutory rights.
Where you wish to cancel a bespoke order before manufacturing has begun, contact us immediately.
HAC may, at its discretion, agree to cancel the order. Where we agree, we may deduct reasonable costs already incurred in connection with the order.
Once bespoke manufacturing has begun, cancellation may no longer be possible.
17. Cancellation – Standard Non-Personalised Products
Where a Consumer purchases a standard, non-personalised product at a distance, for example online or by telephone, statutory cancellation rights may apply.
Where applicable, the Consumer has 14 days after receiving the goods to tell us that they wish to cancel.
The Consumer then has a further 14 days to return the product.
Unless the goods are faulty or we have agreed otherwise, the customer is responsible for the direct cost of returning unwanted goods.
Any statutory right to cancel does not apply where an applicable legal exception exists.
Business Customers do not receive an automatic consumer cooling-off period unless HAC expressly agrees otherwise in writing.
18. Returns
Before returning any product, please contact HAC so that the return can be properly recorded.
Products must be returned:
securely packaged;
with all components supplied;
protected against damage during transport; and
to the return address provided by HAC.
Where a Consumer exercises a valid statutory change-of-mind cancellation right, the product should not be used beyond what would reasonably be necessary to inspect it.
Where permitted by law, we may make an appropriate deduction where unnecessary handling has reduced the value of returned goods.
Bespoke or personalised products cannot normally be returned simply because the customer has changed their mind.
This does not affect rights relating to faulty, damaged or misdescribed products.
19. Faulty or Incorrect Products
We take reasonable care when manufacturing our products.
Consumers have statutory rights requiring goods to be:
of satisfactory quality;
fit for their intended purpose where that purpose has been made known to us; and
as described.
Nothing in these terms limits those rights.
If you believe your product has a manufacturing fault or materially differs from what was ordered, please contact us with:
your name;
order or invoice number;
photographs;
video where helpful; and
a description of the issue.
Depending upon the circumstances and your legal rights, an appropriate resolution may include:
repair;
replacement;
partial refund;
price reduction; or
refund.
The appropriate solution will depend upon the nature of the problem and the rights applicable to the order.
20. Minor Imperfections and Handmade Products
HAC products are individually manufactured and may not have the uniform appearance associated with factory-finished mass-produced products.
Minor cosmetic characteristics that do not materially affect the product's intended function or overall appearance are not necessarily defects.
For raw products in particular, this may include reasonable:
cutting or routing marks;
edge variations;
sanding marks;
visible joins;
small filler areas;
manufacturing marks; or
variations associated with MDF manufacture.
This section does not apply where the issue means that the goods are not of satisfactory quality, not fit for purpose or not as described.
21. Delivery
HAC uses independent third-party carriers and couriers for deliveries.
Delivery charges depend upon factors including:
destination;
product dimensions;
product weight;
number of packages;
pallet requirements; and
delivery service selected.
The applicable delivery price will be provided at checkout or on your quotation or invoice.
Large orders may require more than one parcel or pallet.
Where this becomes apparent after an initial quotation, we will notify you of any additional delivery cost before dispatch.
22. Delivery Estimates and Courier Delays
Any courier transit time that we provide is an estimate unless we have expressly agreed a guaranteed delivery date in writing.
Circumstances such as:
severe weather;
courier network disruption;
industrial action;
road closures;
vehicle breakdown;
peak-season demand; or
other events outside our reasonable control
may affect delivery.
We will take reasonable steps to assist where a delivery problem occurs.
Where the customer is a Consumer, nothing in this clause removes any legal rights relating to delayed or failed delivery.
23. Responsibility for Goods During Delivery
Where HAC arranges delivery to a Consumer, responsibility for the goods remains with HAC until the goods are delivered into the physical possession of the Consumer or a person nominated by them, subject to applicable law.
Different rules may apply where a Consumer independently appoints a carrier that was not offered by HAC.
For Business Customers, risk in the goods normally passes when the goods are delivered to the agreed delivery location or collected by the Business Customer or their nominated carrier, unless otherwise agreed in writing.
24. Incorrect Delivery Information
The customer is responsible for providing a complete and accurate:
recipient name;
delivery address;
postcode;
telephone number; and
any relevant access information.
If incorrect information supplied by the customer results in an additional courier charge, re-delivery fee or return-to-sender charge, the customer may be required to pay the reasonable additional cost before the order is dispatched again.
25. Missed Deliveries
Customers should ensure that someone is available to accept delivery where required.
Where a delivery is missed because nobody was available, any reasonable re-delivery or storage charge imposed by the courier may be passed to the customer where legally permitted.
HAC will assist with the courier process where reasonably possible.
26. Delivery Damage
Customers should inspect delivered products as soon as reasonably possible.
If packaging or products appear damaged, please:
photograph the external packaging before disposing of it;
photograph the damaged area;
retain the packaging where reasonably possible; and
contact HAC promptly.
Where possible, we ask that obvious courier damage is reported within 48 hours so that we can raise the matter with the carrier quickly.
This 48-hour request does not remove or reduce any statutory rights a Consumer may have.
Please do not paint, permanently modify, repair or use a product that you intend to claim is damaged before giving HAC a reasonable opportunity to assess the problem.
If a customer materially alters a product after discovering damage, this may affect our ability to determine the original cause or extent of the damage.
Where delivery damage is established, we will provide an appropriate remedy in accordance with the circumstances and applicable rights.
27. Collection Orders
Where collection has been arranged, the customer is responsible for:
attending the agreed collection location;
bringing a suitable vehicle;
ensuring adequate space for the product;
securing the product appropriately for transportation; and
handling the product safely after collection.
Customers should inspect products at collection where reasonably possible.
Collection does not remove any statutory rights relating to defects that could not reasonably have been identified at that time.
28. Uncollected Orders
Once we notify you that an order is ready for collection, it should be collected within the period agreed with HAC.
If a completed order remains uncollected for an unreasonable period, HAC may charge reasonable storage costs where the customer has been informed of those charges beforehand.
We will contact the customer before taking further action regarding an uncollected order.
29. Assembly and Setup
Certain HAC products are supplied:
flat-packed;
collapsible;
foldable;
in multiple sections; or
with detachable feet or supports.
Where instructions are supplied, they must be followed.
Customers are responsible for ensuring products are assembled correctly before use.
If you are unsure how to assemble a product, contact HAC before using it.
Do not force components together or modify fittings without first contacting us.
30. Safe Use of Props
Unless specifically designed and sold for another purpose, HAC event props are decorative structures.
They must not be:
climbed on;
sat on;
stood on;
swung from;
used as children's play equipment;
used to support a person's body weight; or
subjected to loads they were not designed to carry.
Props must be:
placed on a level and suitable surface;
correctly assembled;
fitted with any supplied feet or supports;
appropriately secured or weighted;
positioned away from hazards; and
supervised where appropriate.
Event professionals are responsible for carrying out an appropriate site-specific assessment before using props at an event.
31. Outdoor Use
Unless we expressly confirm that a product has been designed for outdoor use, HAC props should be treated as indoor-use products.
MDF can be adversely affected by moisture, rain and excessive humidity.
Wind can also create significant forces on large backdrop panels, arches and freestanding props.
Using a prop outdoors is therefore at the customer's risk unless the product has specifically been designed and supplied for that environment.
Even where outdoor use has been agreed, the customer remains responsible for appropriate installation, anchoring, ballast and weather monitoring.
Props should not be used where weather conditions make their use unsafe.
32. Structural and Walk-Through Props
Any product intended to:
form a walk-through structure;
span above people;
support equipment;
carry significant loading; or
form part of a temporary event structure
must only be used for the purpose and configuration for which it was designed.
Customers must not modify structural components without first obtaining appropriate advice.
Where additional anchoring, ballast, steelwork or site-specific support is required, this may be quoted separately from the decorative prop itself.
The event organiser, installer or responsible person remains responsible for ensuring that installation at the venue is appropriate for the actual site conditions.
33. Storage and Maintenance
Products should be stored:
indoors;
somewhere dry;
away from excessive humidity;
away from direct sources of heat;
on a flat or appropriately supported surface; and
in a way that prevents warping or accidental impact.
MDF products may swell, distort or deteriorate if exposed to water or excessive moisture.
HAC is not responsible for deterioration caused by inappropriate storage, misuse, weather exposure or customer modifications after delivery.
This does not affect responsibility for a defect that existed when the product was supplied.
34. Painting and Modification by Customers
Customers may decorate raw props, but once a product has been painted, drilled, cut, glued, screwed into or otherwise materially altered, it may become more difficult to determine whether an issue existed before modification.
Where you identify a suspected manufacturing defect, contact us before modifying the product wherever reasonably possible.
Customer modifications are carried out at the customer's own risk.
HAC is not responsible for damage caused by:
unsuitable paint or primer;
excessive moisture;
inappropriate fixings;
additional weight;
cutting or drilling;
incorrect assembly; or
other alterations carried out after supply.
35. Photography and Social Media
HAC may photograph or record products during design, manufacture, assembly or before dispatch.
Unless confidentiality has been agreed with us beforehand, we may use photographs or videos of products we have manufactured for:
our website;
social media;
advertising;
portfolios; and
other promotional materials.
Where customer-supplied photographs contain identifiable people, private-event information or third-party material, we will only use those images where we reasonably believe we have permission to do so.
Customers requiring a confidential product or launch should tell us before production begins.
36. Promotions and Discount Codes
Discount codes and promotional offers are subject to any specific conditions published with the promotion.
Unless expressly stated otherwise:
only one discount may be used per order;
discounts cannot be retrospectively added after an order has been placed;
delivery charges are excluded from percentage discounts;
expired discount codes will not be accepted; and
promotional offers may exclude bespoke work or express charges.
A promotion does not affect statutory rights.
37. Intellectual Property
Unless otherwise agreed, photographs, product imagery, original drawings, CAD designs, technical designs and other original materials created by HAC remain the intellectual property of HAC or the relevant rights holder.
Buying a physical prop does not automatically transfer copyright or design rights in the underlying design.
Customers must not reproduce HAC's protected designs commercially where doing so would infringe our intellectual property rights.
38. Liability – Consumers
Nothing in these Terms excludes or limits liability where it would be unlawful to do so.
In particular, nothing in these terms excludes or limits:
statutory consumer rights;
liability for death or personal injury caused by negligence;
liability for fraud or fraudulent misrepresentation; or
any other liability which cannot legally be excluded.
HAC is not responsible for losses caused by circumstances for which HAC is not legally responsible.
39. Liability – Business Customers
Where the customer purchases primarily for business purposes, HAC will not be responsible for indirect or consequential business losses arising from an order, including loss of:
profit;
revenue;
contracts;
bookings;
business opportunities; or
goodwill,
except where such liability cannot lawfully be excluded.
Subject to liability that cannot legally be limited, HAC's total liability to a Business Customer arising from an individual order will not exceed the amount paid to HAC for the goods giving rise to the claim.
Business Customers are responsible for maintaining appropriate business, event and public liability insurance for their activities.
40. Circumstances Outside Our Reasonable Control
HAC will not be responsible for a failure or delay caused by circumstances genuinely outside our reasonable control where the law permits.
Examples may include:
fire;
flood;
severe weather;
major machinery failure;
significant transport disruption;
industrial action;
widespread power failure;
government restrictions; or
disruption to essential materials or services.
If such an event materially affects an order, we will contact the customer and take reasonable steps to minimise the effect.
This clause does not remove any rights a Consumer has under applicable law.
41. Complaints
If there is a problem with an order, please contact us first so that we have an opportunity to investigate and resolve it.
Please provide:
your name;
invoice/order number;
details of the issue;
photographs or video where relevant; and
the resolution you are seeking.
We aim to deal with complaints fairly and reasonably.

Telephone: 0737738186142. Privacy and Personal Information
We process personal information for purposes including:
processing orders;
taking payment;
communicating with customers;
manufacturing products;
arranging collection or delivery;
handling customer service issues; and
administering our business.
Personal information may be shared with service providers where necessary to fulfil an order, including payment processors and delivery companies.
Our handling of personal information is further explained in our separate Privacy Policy.
43. Changes to These Terms
We may update these Terms and Conditions from time to time.
The terms that apply to an order will normally be the version in force when the order is placed unless a later change is required by law or expressly agreed between HAC and the customer.
44. Severability
If any part of these Terms and Conditions is found to be unlawful or unenforceable, the remaining provisions will continue to apply.
45. Governing Law
These Terms and Conditions are governed by the laws of England and Wales.
Where the customer is a Consumer, this clause does not remove any mandatory rights the Consumer may have to bring proceedings in another part of the United Kingdom where applicable.
For Business Customers, the courts of England and Wales will have exclusive jurisdiction unless otherwise agreed in writing.
46. Your Statutory Rights
Nothing in these Terms and Conditions is intended to remove, restrict or replace any statutory rights that cannot legally be excluded.
Where there is a conflict between these Terms and Conditions and a mandatory legal right, the mandatory legal right will apply.
